When an inspection answer meets a configured condition, eAuditor can create a ticket for review. The responsible person can then open the ticket, understand the issue, enter a response, add photo evidence, and submit the update.

How the Automated Inspection Notifications and Response Process Works

1. Complete the Inspection Question

The inspector answers each checklist question. In the video, the inspector selects “No” because the air-conditioning unit is not working.

2. Create a Ticket

When the answer meets the configured follow-up condition, eAuditor creates a new ticket. The user can cancel the prompt or select “View” to review the issue.

3. Review the Inspection Finding

The Action Plan Response screen displays the original inspection information. Therefore, the responders can see the related question and answer without searching through a separate report.

The ticket may display information such as:

  • The recorded answer
  • The audit or inspection name
  • The due date, when available
  • The assigned user, when configured
  • A description containing the source question and answer
4. Enter a Response

The user enters a clear update in the Response field. For example, the video shows the response, “It is working now.” This note provides a direct record of the reported resolution.

5. Update the Status

The responders selects the applicable status shown in the action plan response form. As a result, the response includes both a written update and a structured status.

6. Add Photo Evidence

The user can upload an existing picture or take a new picture with the mobile device’s camera. Photo evidence can help show the current condition or verify that the issue was addressed.

7. Submit the Response

Finally, the user selects “Submit Response.” eAuditor records the response and displays a confirmation message.
